2019 Oct Meeting Minutes

The Gayle annual HOA meeting: 11:00 am Sunday, October 20th, 2019

Location: 1600 E Olive Way, Starbucks meeting room

New Board Elected

  • President: Bill Logan #101
  • Secretary: Amanda Muhlestein #201
  • Treasurer: Matthew Williamson #302

Highlights: 3% increase in dues approved for 2020

  • Sewer pipe section under the front sidewalk in need of repair/replacement.
  • Paint and carpet for interior will be prioritized next year

Meeting Minutes

Sewer

  • In the process of getting bids to insure the sewer line will remain free from roots and how much work is required to replace the section under the sidewalk.
  • Agreement that the work needs to be done before EOY instead of simply jetting it once a year, problem is large enough to fix immediately
  • If the cost of the work exceeds 25k+, then overage may require a special assessment

Common Space Painting & Carpet replacement

  • New paint & carpet - general consensus for projected work rolled over from 2018 annual meeting and now prioritized for 2019. Cost may be more than what was originally estimated due to scope of work/inflation - Amanda on point for bids/scope of work and scheduling with owners/tenants
  • New lights requested due to poor lighting on 1st & 2nd floors - will take this on as part of the painting project - Amanda

Landscaping

  • Recommendation to consider a service to get bids on landscaping
  • General consensus is that quarterly visits are too much/waste of money based on how little sun our front exterior scape gets - not worth the expense so 2-3 times a year so ad-hoc maintenance is fine - Amanda/Matthew

Dumpsters

  • Locks implemented in 2018 has been successful. Much less noise & garbage in the alley - Matthew
  • Now that we have locks on the dumpster we still need to access our weight/use, so that we can determine if we need to go down a size for garbage

Brick repairs

  • Tuck pointing was discussed again - not in scope for this year

Recurring Tasks - Volunteer

  • Monthly Fire Alarm Testing and extinguishers - Denali
  • Wiki Updater -Bill, Amanda M. backup
  • Boiler Room Blow-down and annual boiler inspection - Bill or Amanda
  • Annual Window Washing - Amanda (contractors who are licensed and bonded won’t work on the property as the electrical lines are too close - we may need to hire a handyman to do the work)
